Samples Overview
The Samples section is the core of TextileOps. This is where all fabric samples are tracked, managed, and monitored throughout their lifecycle.
From the Samples page, you can view a comprehensive list of all active, pending, and completed samples. The interface provides powerful filtering and sorting capabilities, allowing you to quickly find specific samples based on client, status, or date.
Create Sample
Creating a new sample request is the first step in the workflow. Here is how you do it:
- Click the New Sample button located on your Dashboard or Samples page.
- Fill out the required information, such as the Sample Name, associated Client, and initial specifications.
- Click Create to initialize the sample. It will instantly appear in your pipeline with a status of 'Requested'.
Edit Sample
As samples progress, you will often need to update their specifications or details based on client feedback or production reality.
To edit a sample, open its detailed view and click the Edit button. You can modify any of the properties including dimensions, fabric composition, color codes, and tags. Remember to save your changes, which are then tracked in the sample's history log for full transparency.
Sample Status
Keeping the sample status updated is crucial for accurate tracking and automated notifications. TextileOps uses standard statuses to denote where a sample is in the pipeline:
Attach Files
Context is everything. You can attach reference images, CAD files, tech packs, and client PDFs directly to any sample.
Navigate to the Files tab within a sample. Drag and drop your documents or click to upload. Files attached here are securely stored and instantly accessible to anyone viewing the sample, ensuring everyone works off the latest specifications and visuals.
Vendors Overview
A robust supply chain starts with excellent vendor management. The Vendors section is your digital rolodex for managing relationships with all your suppliers, mills, and external partners.
From here, you can view your entire vendor list, check their contact details, review historical performance, and securely grant them access to their dedicated Vendor Portal where they can view assignments and update sample statuses.
Add Vendor
Onboarding a new vendor is quick and ensures all their details are stored securely.
- Navigate to the Vendors page from the main sidebar.
- Click the Add Vendor button located in the top right corner.
- Fill in the required business details, contact person, and billing information. Once saved, the vendor is immediately available for assignment in your samples and purchase orders.
Edit Vendor
Keep your vendor profiles up-to-date as relationships and personnel change.
Select any vendor from your list to open their profile. Click the Edit Profile button to update their contact information, internal notes, or portal access rights. Changes are reflected immediately across the entire TextileOps platform.
Delete Vendor
If you no longer work with a supplier, you can remove them to keep your list clean.
Important Warning
Deleting a vendor cannot be undone. To preserve historical integrity, we recommend archiving the vendor or marking them as "Inactive" if they have past sample records associated with them.
To proceed with deletion, open the vendor profile, click the settings icon, and select Delete Vendor. You will be asked to type the vendor's name to confirm the action.
Vendor Ledger
The Vendor Ledger is a comprehensive financial and activity history for each of your suppliers.
Navigate to the Ledger tab within any vendor's profile. Here you will find a chronological record of all purchase orders, invoices, payments, and outstanding balances. You can export this ledger as a PDF or CSV file for reconciliation with your accounting software.
